Deposits & Sales

The sale is the financial record of truth: it records the full price. A deposit is a hold taken earlier, and at sale time it is credited against that full price rather than added to it — so your books show one sale at the real amount, not a deposit plus a balance that look like two sales. This is the part people most often get backwards, and it is worth the minute up front.

Take a deposit

A deposit belongs to a waitlist entry, not directly to the contact. So the sequence is: contact → waitlist entry → deposit. That is one extra step, and it is what makes everything afterwards automatic — the entry already knows who the buyer is and what they are waiting for.

  1. Open the buyer's contact profile.
  2. On the Waitlist tab, add an entry for the litter or rabbit they want (see Waitlist).
  3. Add a deposit to that entry, with the amount, method, and date received.

A deposit carries a status, and the status is what drives the money and the emails:

Only a Received deposit can be applied to a sale. Emails go out only if the contact has an email address on file.

Complete the sale

Any deposit ready to use shows a Complete sale shortcut on the contact, which opens the sell flow with the buyer and that deposit already filled in. Pick the rabbit, enter the full price, and confirm.

Use Complete sale on the deposit, or sell from the rabbit's own record and pick the buyer and deposits there.

What happens when you confirm:

  • The rabbit's ownership status becomes Sold, and a Sold entry lands on its timeline.
  • A rabbit sale transaction is written for the full price, linked to the rabbit and the buyer.
  • Each applied deposit flips to Applied, is pinned to that rabbit, and its pending transaction is removed — which is exactly what stops the money being counted twice.
  • The deposit's waitlist entry is marked Fulfilled.
  • If the buyer has an email address, a pedigree transfer is prepared for them.

A deposit taken against a litter applies to any rabbit out of that litter, so money put down before the kits were named still lands correctly. Once a deposit is applied it cannot be deleted — it is part of a completed sale.

The rabbit stays in your herd as a Sold record with all of its history, and remains selectable as a sire or dam, so selling an animal never breaks its offspring's pedigrees.

Multi-line receipt sales

When someone buys several animals at once, record it as one receipt rather than a string of separate sales. A receipt sale takes a buyer, a date, and any number of line items, where each line is one of:

  • a rabbit from your herd,
  • a kit from a litter, or
  • a quantity out of a phenotype bucket.

Kits and bucket quantities are graduated into full rabbit records as part of the sale — you do not have to promote them first. A bucket line for three kits becomes three individual rabbits, each with its own finance row and its own pedigree, rather than one lumped entry. See Kits & Phenotype Buckets.

Deposits are credited across the receipt the same way they are on a single sale.

What the buyer gets

If the contact has an email address and you leave sending switched on, OmniBurrow emails them:

  • a receipt for the sale, with your rabbitry name and logo,
  • the pedigree PDF for each animal, attached, and
  • a claim link for the pedigree transfer, so if they use OmniBurrow the rabbit and its ancestry land in their account as live records rather than a picture of a pedigree.

For a multi-animal receipt this is one combined email with every pedigree attached, not one email per rabbit. You can add a personal note, and your standing sale-email intro is set in herd settings.

No email address means no receipt and no transfer link — the sale records perfectly well, you just hand over the paperwork yourself. See Pedigree Transfers.

Undo a sale

A sale recorded against the wrong rabbit, or one that fell through, can be reversed. Undo sale lives in the rabbit's actions on both apps.

Undo reverses the whole sale, not just the money

Undoing a sale: sets the rabbit back to Active; removes the sale transaction; returns each applied deposit to Received and puts its pending money back on the books; reopens the deposit's waitlist entry to Queued; cancels the pedigree transfer, so a claim link you already emailed stops working; and removes the Sold event from the rabbit's timeline.

If the sale had no deposit on it, its waitlist entry stays marked Fulfilled — reopening happens as part of returning the deposit. Set that entry back yourself.

Undo needs a connection on the web. On mobile it works offline and queues.
